MasterMail allows managing an office mailing service in a shared and centralized way via an online platform, which can also be installed on any of the organization's computers and digital facilities.
It is possible to develop a unique mail per office, instead of setting up individual emails for each individual - e.g. USexportmare@maildomain.com).
Every e-mail sent to this address will be immediately archived in a database allowing for the following features:
1 – Generate entry rules such that any incoming mail from a specific domain, or address, can be attributed to the relevant employee. When an incoming mail is not assigned to anyone, the system will mark it as NA (not assigned). These emails will be visible to anyone at the office who will be able to share the workload independently. Alternatively, mails can be assigned by an office responsible or other selected users.
Each user will see the emails that were assigned to him, and all those marked with NA.
2 – Moreover, each email can be assigned a status: received, work in progress, waiting for an answer, waiting for an urgent answer, archived, etc. etc. Each client will be allowed to generate a list of status to meet their specific needs.
3 – Finally, it is possible to grant each user customized functionality permissions with respect to emails' status assignment and workload distribution.
Benefits:
- Information is always stored on a database. Thereby, emails are already archived centrally, no backup procedures are needed, and the memory space needed is much lower than what would be required by setting up a mail for each employee.
- Creates barriers to engaging in personal activities using the company mail address.
- It is possible to monitor on a daily basis the activities for each user: the number of unread emails, read emails, urgent emails to be answered within the same day or the next day, etc.
- Secrecy and security are enhanced insofar as the mail account and archive is stored on an independent centralized server, rather than personal computers, and laptops. Thus, it ensure higher safety standards and reduces the risks of malfunctioning or undesired copies.
